Priority Matrix has become practically indispensable to me in my project management. As an independent consultant, I find it a powerful and handy tool to keep track of my responsibilities to my clients, to record and track pending obligations, and to manage everything from due dates to vendors to invoicing. There is not a day that I don't use it, and hardly a day that I'm not very glad for it. In addition, I have found the customer support superb--fast, informed, concise and helpful. I've now begun using it with some of my own sub-contractors, and they're finding valuable utility in it too--even as PM makes it possible for us to coordinate our shared projects together elegantly and easily from a distance. Specifically, we can assign each other tasks in shared projects, track each other's progress, leave each other edits, comments, and linked documents, and more. Works like a snap.

PM also recently improved the ability to send emails directly from the email window (I use Gmail) to PM projects, including with deadlines, which is yet another upgrade I've valued. Finally, the integration across platforms is seamless (I use it on my iPhone, my iPad and my Mac).

In sum: For me it has been a highly useful product, easy to learn and apply, with a great support team.

Nachteile

If I could change one thing, it would be to be able to make matrices for projects sub-matrices of other projects. For example, I have multiple projects I'm managing simultaneously for individual clients, and the jobs' complexity requires me to set up their own matrices for each project. But it would be helpful if those projects could all be integrated together underneath the client. I'd also value a fast way for PM to tell me each week what deadlines for tasks are approaching.

Lack of possibility to create sub-item in an item in a project. We should also be able to create repeatable item that shows only when start times would occur.

Wish the standard version allowed view of planned time required , per quadrant (capacity review), of if could export to get a view of the load of work by quadrant.

Best implementation of Eisenhower matrix management tool I've come across.
Works and syncs across PC, Mac, iPhone and Android.
Very intuitive to learn and use
Support is very responsive to any issues and very accessible for training and assistance

Nachteile

Had a few annoying bugs initially (PC version crashes, display refresh rendering issues), but these have been addressed in updates and very stable now.
The PC and iOS versions are very polished and have a consistent feel, the Android version looks and feels clunky by comparison

Vorteile

It is easy to use. I like that it keeps a record of the action after completion without having it in the active view. I also like that I can set up repeating tasks.

Nachteile

I don't like that it is solely downloadable. My company is locking down security so tightly that it is almost impossible to get it past the firewall to install.

Quick access to jobs/tasks, especially with the "Ctrl+F"/search function.

Can't export/pull data for manipulation in a spreadsheet.

The ability to be able to use my own icon and the icon which you do have are quite limited and too simple
The thing that concerns me the most is the syncing I have had things not sync in the past and not be able to find them ( there has been some improvement but it still feels like I can't trust it and I am somewhat worried, the syncing has to happen right away when I add item and not have to think about forcing a sync)
I have used the drag over email but sometimes have lost the link to outlook which is annoying and then I can't simply email that from PM it's stuck there and I can't email it ( big problem for me)
This is not your issue but mine how to best use priorities I seem to add too many things as urgent and important I don't but others in the proper locations, I need to use it properly so it actually becomes my only place where I put to do and not email myself notes
And then sort them, I need a tutorial on how to get the most out of it and I haven't done it

A Mac guys but have found that the app is a dumbed version of the outlook which is not good so I have to have parallels in order t have my outlook and PM together but flopping back and forth on the screen again makes the app, not in my face and I lose the ability to use it properly
And I use outlook more as a to-do list which is not what I want

The ability to move tasks around as priorities change, add due dates, reminders and notes. I used to be writing and re-writing to do lists constantly, and sometimes things would get lost. I use my 4 quadrants like this: Work due ASAP, Work due soon, Long term work, and back burner.

Nachteile

The visual design needs to be updated. I like the visual appeal of Google Keep, but they do not have the functionality PM does. Maybe some options for different fonts, and some other options other than the 4 quadrant? Also, I would like to be able to sometime just show one of the quadrants, and make it a smaller size to go on my desktop without taking up too much space. An integration with ical would also be good, so everything you give a deadline can also be on your calendar if you choose. I like that it syncs to my appon the desktop and phone, but do not like how there is that sign in screen, I want it all to be automatic and seamless like Google Keep is. I have had instances where one updates and the other does not and then I get doubles or things get confusing. Also, the base price is expensive. I think it is worth it personally, but when I recommend it, I can't see too many people using it. I think it would be especially good for students and have recommended to parents of middle school students who are having a hard time keeping organized. What if you had a "lite" version for students that was a lower cost? It would only have four quadrants and just one project or something.

It gives me the ability to visually organize what I need to do. I use both the desktop version and the mobile version. The syncing between the two is nearly flawless.

Nachteile

It's not created for my use case (i.e., to do lists)! But it's flexible enough to meet my needs. I organize my to do lists around projects.

Our team uses this to maintain living agendas for regular meetings. Being able to build and monitor agenda items in real time ensures that all parties are prepared and the conversation moves quickly.

Nachteile

As I use this for just one function, there are many features that I have not explored. I don't think that it's a software problem as much as it might be a marketing problem. If I fully understood more value propositions, this tool might be more valuable to my broader organization.

It provides a sane way to handle alerts. In addition, the user can access the same files using the mobile apps as well.

Nachteile

When you have too many items in one project, it is not easy to see all of them based on the design. In addition, there is no way to edit the Tags list as I understand.

It is very powerful in helping me to remember and prioritize many tasks at once. I spend much less time now trying to figure out what to do next, and can get on with completing the task at hand.

Can be glitchy sometimes. Cust Service was helpful with some problems. The main problem I have is with recurring tasks disappearing to the inbox sometimes when I complete them.

In order to really get real value one really need to understand how the product is designed to work and really take some extensive time to figure out how best to make use of many of the functions.
The main 'screen/view' can be confusing to someone just trying the application.

As the administrator I can see all tasks of the individuals on the teams allowing me insights on completion of tasks or when tasks are not being completed in timely manner. It creates accountability within the team.

Nachteile

Calendar sync with G suite is only one way and must be time specific, recurring events will show in g-suite.

It allows for sharing of priorities and areas of focus with your team members and emphasizes collaboration

I love the Chrome extension and Gmail extension to easily get details to Priority Matrix. I also love the ease in setting up projects. It is VERY flexible.

The right tabs...I wish it would default to your preference. I also wish the repeating tasks could have more flexibility such as what you have in Google calendar.

The eisenhower matrix and customizable projects make organizing my priorities so easy. I love being able to set recurring projects and tasks and the note section comes in handy. I love being able to use this across multiple platforms: laptop, work computer, cell phone, ipad.

Nachteile

The learning curve for the software is pretty steep. It has lots of crazy things that it can do like coordinating with your email but using these tools is not very intuitive and often tricky.

I like having the ability to create an unlimited number of projects. This allows me to have separate 'projects' for each of the key people I work with who have actionable tasks, plus I have a primary "mothership" tasks list.

Nachteile

The web version of the tool has been clunky at times. Specifically, I've needed to refresh the page to see tasks eliminated.

Mobile and PC syncing. I like how updates that I make to my computer can be viewed in the iPhone app

I would like to be able to have sub tasks, similar to what you can do in Omni focus. Also at times the software can be glitchy and notes get deleted

It is an easy to use format. I like being able to easily move projects/clients between the quadrants. It is awesome for keeping track and being able to easily see my clients in one picture.

It is a bit pricey for what I do with it. There are a lot of features that I don't need or use. I wish you could offer a less expensive scaled down version.

I think each action point should have a mandatory or automatic time/date to action or expire, so that you get notified in case you forget something. Or perhaps a blinking icon or colour change as a constant alert until you turn it off or complete. If you have a lot of projects on the system, you sometimes miss overdue items.

Lack of access control to prevent accidental edits to projects/tasks owned by someone else. No additional Cons to mention at this time.

Its flexibility and reliability. I can update my matrices while on the go, and am able to share targets and work processes with a larger team. I'm able to use a variety of matrices to cover a wide variety of different areas of focus.

Nachteile

Needing to remember to hit 'save' to save notes added to an item. I often forget, and immediately lose all those notes.

Vorteile

Easy to use, and pretty graphic. It lets you customize to diffiriantice your projects. It keeps everybody connected, receiving alerts when someone updates a task.
Also great support service, and webbinars are helpful too.

Nachteile

It doesn´t check if you put too many task for one day, and the sum of the hours is greater than the time you have in a working day. It´d be nice to have the possibility to assign people, time and money to the tasts; so you can check (in a simple way) the impact of the project.

Really liked the quadrant look and the ease of moving tasks across categories. Linked well to my calendars and reminders. Useful to see an overview of tasks.

Nachteile

For me it became overkill and I was spending more time categorizing and organizing tasks than actually doing them. I eventually deleted the app and went for a simple uncategorized task manager that suited my workflow better.

Organizing my thoughts. I tend to globalize my thoughts, causing me to loose track of individual steps that are important in reaching my goals. As a screenwriter/ publisher, I have a lot of things going on... most connected one way or another. Using PM, I can focus on what's important.

Nachteile

Not seeing the whole picture/projects and how each relates to each other. Because I have many activities, not seeing this, causes me to use other programs such as Scapple or Mindjet to see how they relate and figuring out which one to tackle first

The apple app is fantastic. Creating new items could be improved by allowing you to select the quadrant prior to creating a new item

Windows/PC interface is terrible. It also syncs very slowly with my Apple devices. It would be nice if the systems worked together a little more seamlessly. Also, a reminder tab would be nice on new items.

Sometimes the synchronization between the app, web-based and phone versions of Priority Matrix doesn't work as expected. Certain tasks still show up after being marked complete on one or more of the other platforms.

I would prefer stronger project management tools such as MS Project compatibility in the Gantt feature and easier integration with Outlook.

I like that this software gives me a wide berth - a platform to freely express the various stages of my multiple ongoing projects. They are all under one umbrella but the system design allows me to address them independently, which in some cases helps me generate more ideas.

It seems very pushy as though trying to force itself to be my main go to app. Definitely do not like that.

Snapshot tool works well, tracking changes/updates/closure of items is easy. This presents a simple way to prioritize tasks and work.

I wish I could choose to add a group of collaborators to a project or item rather than picking one at a time. If I could group people into teams and assign, it would cut out a minor delay/annoyance.

The accessibility from all different devices: from handheld personal devices, to desktop PCs, allows our team to communicate instantly from the field to the main office on project specific items, and many other tasks.

Nachteile

There are an overwhelming number of features that I've yet to master, so it makes the application seem more busy and complex than it actually is.

Native application, so it's quick. We can use different types of matrix (Eisenhower, GTD, SWOT, etc.). Data is synchronized to the cloud, and available from many computers or mobile devices.

Nachteile

The application is simple to use, and there is a lot of features, but the user interface could be more modern and simplified. It feels a little bit dated, but it works well.

Easy access, it can be accessed in a variety of ways, via PC or mobile device. The overall structure of the system is great, not only does it allow me to prioritize and manage my daily and weekly tasks but it also allows me to include those who are a part of those tasks as well.

Nachteile

I wish there was a way to better ensure that multiple users to not add/assign the same task. There have been cases where myself and another colleague both add the same task our matrix and assign the same PR. This can cause a great deal of confusion, especially for the PR assigned to the task.
