Great Product - Needs Some Upgrades
Overall I am pleased. I do believe its time for Procare to expand parent payment solutions with credit card chip readers and Tap to Pay. Especially Tap to Pay. We have had a LOT of requests for that. Parents dont bring a purse or wallet in the center to drop or pickup their kids, but they ALWAYS have their phone!
Vorteile
I like that its multifaceted; attendance tracking, Food Program needs and billing/tuition.
Nachteile
Still has tuition express glitches when it comes to credit/debit payments. Still having to "force" a lot of deposit closures or manually enter payments that clear but dont show on the ledger. Parents think we are being "shady" when they make a payment that clears their bank, hits our bank, but doesn't reflect on their ledger. We have lost customers due to this.

Essential Communication Tool for our School!
We started using Procare during Covid for contact tracing and parent communication since families were not allowed in our building. Since then its become the backbone of our school and we are all always on the same page with families and as a teaching team.
Vorteile
As a director it is a very efficient tool for my teaching staff and myself to always be on top of attendance and all parent communication. Our families find it easy to use and especially love the photos and videos that are shared each week!
Nachteile
I would love if a Copy and Paste feature could be added. Sometimes teachers send a group message to an entire class which is easy but they'd like to copy that to send to a different group of students without having to retype. Often times they will type it in their phone's notes app and paste it into each message as needed on Procare. If procare had a copy feature it would save us time!

Would recommend to any child care center!
I have been using ProCare since 2009 and have no major complaints. Any time I had an issue the tech support was able to assist and solve anything I needed.
Vorteile
It is easy to use and makes the day-to-day operations manageable.
Nachteile
Some issues with the fingerprint scanner and updates but usually resolved with a quick re-start.

Daystar Procare Review
For over 15 years, Procare has been our choice. The was no comparison. No other product previously has offered so many options. For a larger Center with involvement in several government services for children, this has been the best system. We hope to stay with Procare if possible. Procare has always been designed for us the providers to operate effectively. However, in some ways, there seems to have been a shift.
The inclusion of the online version was very unclear. Upon the access to the program being granted; parents were invited without our permission prior to us being able to train any staff or even explore the program. Additionally, we were encouraged by Procare staff to "play" with the program and try utilizing the features. While test driving, unbeknownst to us, parents were receiving emails notifying them of the updates we made. Even though we turned off this feature. When we reached out to customer service we were told only the parent can turn off the feature. We feel all accesses should be customized by the Center.
Vorteile
We have loved the Procare desktop over the 15-plus years we have utilized it. Our favored features have always been tracking time cards for staff and students, and billing for families. The system is clear, organized, and usable. It is excellent to be able to go back to accounts and see the entire history of each account. The idea of Procare online to meet more Daycare daily needs seems like it could be a great system yet daunting.
Nachteile
After being a customer for over 15 years it was disappointing to be put into a new pricing. After this change was made and "online" was launched for us, many features caused confusion with parents, and changes were made to our account with no warning. It is also hard to grasp why the two systems only communicate some information but do not sync all information. Example: if we start tracking meals through the app, we can not generate reports on meals in the desktop version because this information will not be synced to desktop.

Easy to use solution for Childcare centers
Overall, Procare has been great and has provided my school with a streamline way to document a child's day and stay connected with parents.
Vorteile
I like that it allows for in depth parent communication. I also like how easy the system is to use.
Nachteile
There are a handful of limitations within the desktop version for administrators. I wish there was an easy way to mark children absent. I also would like to see a higher quality documents system.

Very Happy Customer
I have been very happy with procare. I am very happy with all the reports that we are able to run. Our families love how they can communicate with their teachers and administrative through Procare. The customer service has been amazing as well with both Tuition Express and Procare. I would recommend Procare to others

I love how user friendly Procare is. Very nice that we are able to run reports on class information, who has outstanding balance, and when a payment was made. I do also love how I am able to set up recurring invoices for each family. Very convenient also to have access to all staff information. I also use the Bank Account Activity report and Transaction reports often when reviewing payments
Nachteile
I do not like that our families are able to change their payment method each month. Even though I have them sign a financial agreement they still make changes. This is difficult because invoices must be adjusted for the CC fee. It would be nice to have an automatic late fee invoice for all outstanding balances.

User Friendly
I have used Procare for 27 years and went through the major upgrade and the new Procare Solutions. They just keep getting better.
Vorteile
I like the fact that the program is easy to use and has more complicated functions when needed. I was able to get rid of QuickBooks and do all my center management for students, accounts, and staff with payroll all from one program that I can also access from anywhere! I love their customer service. They are trained and can really help.
Nachteile
Are too many choices a problem? So many reports that it takes time to figure out what report you want. Once you figure out the report that works the best you are set. With data reports you can configure your own reports as well.

My Thoughts on Procare
Overall we are pretty happy with Procare. We really appreciate the ease of getting customer support through chat. Procare support is almost always able to help me without me having to make a phone call and being put on hold.
Vorteile
I like the ability to process tuition and keep track of payments.
Nachteile
I don't like the way that Daily Activities are setup. I wish the app had more of a social media feel where parents could view the activity and comment or 'like' what they are viewing. A previous app we used had the activities displayed this way and we found that this better supported teacher/family engagement.

Great service, excellent for our needs
Overall very good experience. We like using Procare and will continue to use it for all of our programs.
Vorteile
We've used Procare for about 8 years for our Before and After School programs, and this summer started using it for our summer day camps as well. I like the PIN check in / out option, as well as the option to set up carpools so that parents / authorized pickups only have to remember one PIN. The pricing is very reasonable. The app works well for communication with parents.
Nachteile
I wish it was easier to activate participants in the app. We sometimes have kids who are registered for the program but have not attended in a long time, so we inactivate them. But then they show up for a drop in, and it's not easy to re-activate them from the app.
It also takes quite a few clicks to get to the parent kiosk screen for parents to sign their kids in and out, and the steps aren't that intuitive. It would be nice to just have the parent kiosk with the PIN entry as a button on the front screen to get to it quickly.
Some of the reporting processes could be simplified - I wish we could customize the reports more.

ProCare Solutions
I have been very happy with ProCare. I am old school and was doing everything on paper. I was skeptical, and to be honest, a little intimidated by the technology. To have a program that keeps everything organized has made my job so much easier. It is great to have everything streamlined and in one place.
Vorteile
I find ProCare to be very user friendly. Our families love having real-time updates of their child's day. It keeps everything very organized, student information, immunizations, daily activities, etc. I just have to click on a child's name and I have everything I need.
Nachteile
I would like to have the option of have several forms, right now, I can only have one form for families to fill out. I would like to have an interest form and an enrollment form.

Amazing tool for daycares
I have loved Procare! It is amazing as a teacher because it allows me to stay connected with parents while they trust their child to be in my care!
Vorteile
I’ve used Procare at two different daycares and have loved it! I have also used a different app (Tadpoles), so I have something to compare against and I’d choose Procare 100%.
I love how easy it is to message parents through the app and stay connected.
It is nice that you can put in an activity for multiple kids at once.
Nachteile
I’ve used this app for a while and I still don’t quite understand how to put my lesson plans in?
Or how the evulations work on there but it will be a process of me trying to figure it out!

Overall experience is very good. If we have had to call for service in the past, solutions were received. Sometimes disconnects from internet, but overall okay.

Good solution for small programs and larger ones
It's been a good expereince. We were using CCM for ages (which Procare bought out) but due to cost we decided to go with Sage, which we did not like at ALL, then over to HiMama which we were happy with, but didn't 100% meet our needs. Procare's cost came down, and still had a lot of the features from CCM that we were missing.
Vorteile
That we have everything in one place, we can send out forms, newsletters, message parents and handle billing all in one platform.
Nachteile
We are school-age so our program runs differently, I wish the Standards provided in the lesson planner went up to school-age, but I have not yet found a program that is set up for school age students.
Parents don't like that they get updates for room changes/recess, etc. But if they turn off notifications, they don't get any notices including deadlines... it would be great if they could do customization for user end for that.

Procare use
The programs are easy to use and both staff and families are enjoying working with it. It makes signing children in and out at ease.

Definitely recommend
We have had Procare for 14 years now and have been happy overall.
Vorteile
It is truly an all in one system. While I do not use all of the features, there are so many to choose from; billing, payroll, parent engagement, portfolios, curriculum, and more. I am always excited to see what new things are being offered.
Nachteile
The price..... Mainly the high credit card fees through their integrated tuition express portal. We lose several thousand dollars a year to the high credit card fees. I could and did switch to another provider to save on the credit card fees, but the fact that it is integrated and posts the payments right away is what keeps me. It is expensive to invest in the system and all of the add ones as well, but it truly makes my job easier. I could not imagine doing this business with out it.

Good Product but do your research
While its a fairly easy system to use, the system lacks in update from a dos style system. It functioned as I needed it to for 10 plus years.

When we initially purchased Procare we bought modules and seats for local systems. Then several years ago we moved to cloud based services and minimal features and were then charged a monthly fee. Then about a year and a half ago we were forced to move to the full feature monthly fee even though we weren't using the features nor needed them. The new cost doubled monthly and made us look for a newer product.

Love this!
Overall, Procare has made our lives as both administration and teachers so much easier!
Vorteile
ProCare takes care of all our needs in one easy platform. From tracking who is signing a child in and out, attendance, parent messages, incident reports, diapering, feeding and even napping, we have been able to do away with pen and paper for basically all classroom documentation. As administration that does not work hands on with billing, I am still able to see in-depth explanations to parents accounts and assist them when they have issues.
Nachteile
As with any technology, there are glitches. Things as simple as Procare not catching a child's birthday and changing their tuition accordingly has to be monitored because it frequently does not work. Other than that, our only downfall is that if wifi goes down, we lose some capabilities as cell service is not great in our building and many parents rely on a tablet kiosk for signing children in and out.

Procare is the leader in its industry, and I don't ever see that changing.
I have used Procare for over 10 years and it just keeps getting better. It makes my job as an executive over child care programs so much easier by keeping every tool I need in one place.
Vorteile
Procare is a one stop shop! They do everything we need and are always adding new features. The backend reporting side of Desktop is a game changer for administrators and the app has been crucial for maintaining consistent, quality communication between staff and families.
Nachteile
Nothing- we switched to another system for a year and as soon as our contract was up with the other guys, we ran back.

Procare - a daycare software that gives business owners input on new features
Just like with all the other daycare software products it may take sometime to get a hold of someone during peak hours but they always follow up and make sure you are satisfied.
Vorteile
Procare is always trying to improve and add new features. Their online videos are always available and easily understood. We appreciate that when they are looking to implement something new we are able to be part of the Beta version and give feedback. Especially appreciated that Procare listens to our feedback.
Nachteile
There are some simple functions that we would like (for example - a place to put our own school calendar or other notices that parents can just view when they need. Additionally, a ProCare message or email alert that a parent has uploaded a document for our review. HOWEVER, we understand that they can't always implement what we feel is needed.

Pros and Cons
The customer service has been an 7/10, most questions get solutions. Invoicing is great, the app and “lead “ registration need some tweaking.

Their invoicing platform , is my favorite part once you learn the steps its pretty flawless.
Nachteile
The messaging, doesn't show when a parent or staff member has read a message so that can be confusing and frustrating.

Great, but takes a long time to learn all that the Procare software offers
Procare is a quality child care management system for keeping track of a ton of child and family information. It takes quite some time to learn all what Procare can do for your program.
Vorteile
The online MyProcare Parent Portal is a great way for parents to add and update their children's weekly schedules. And it's super nice that they can pay their bills through the portal as well.
Nachteile
Tuition Express frequently fails to post payments to random accounts when a parent pays online. This is a HUGE headache because you must goin to the accounts and manually enter the payments and then generate a deposit report.

We're using it more and more!
Overall it's a great software solution, and we plan to continue using it in the future. As with any product that tries to do more than one thing, not everything is done with excellence. We are learning about new features everyday, and in most cases Procare makes our jobs easier!
Vorteile
Procare used to be just to manage student enrollment and tuition payments. Now it's so much more! We can send messages, photos and newsletters to parents, and we control who can view them. Staff use Procare to clock in, and payroll has become so much easier! We're hoping that using staff to take student attendance will increase the accuracy of the reports.
Nachteile
I have two teachers who are dissatisfied with the parent messaging to the point that they decided to use a different messaging app. That is due to the fact that they have no way to tell which parents have seen a message unless that parent takes the time to send a reply. A quick reaction button would help. We also have parents (i.e. our room representatives) who want to be able to message other parents and cannot. I am not a fan of the staff messaging system - if I send a message to all staff asking who can stay late, and then a second message asking who wants to order lunch in, there is NO way for me to tell which message a staff member is replying to because each response comes individually rather than as part of a thread. None of them can see the others' replies either.

Procare Experience
Procare is a great communication tool to use in your childcare setting. It is easy to track which children in your center and employees. You are easily able to keep your rooms in compliance with ratio numbers. What I really like is everything is right in your hands, you have all these records, contact numbers, billing information making things easy for you. My staff and I really like the messaging feature. They are able to get answers to their questions fast and share information. We like using Procare.
Vorteile
I really like the whole communication aspect of ProCare. We are able to share information to parents as it's happening and then can in return reciprocate. I love that we don't have to do the old paper communication, it saves so much time doing it electronically and is easy to use.
Nachteile
I have found using the automatic billing feature that if a child is missing a sign in or sign out time that the system doesn't bill anything but most of all there is not error report or message that indicates that happened. We have found a lot of time wasn't billed and had to go back and figure that out.

Awesome Software for our Daycare Center
I love the ease of use and all the features that Procare has to offer. My only issue is not being able to have parents who want to use credit cards be charged the processing fee for their charges directly. We only can offer ACH transfers now due to this issue.

Love all the features, child log in/out, parent payments, staff hours etc.
Nachteile
I wish that parents could use credit cards and get billed directly for the fees based upon what they charge on their card. Another software we used could do this and we were told that Procare can't. I wish that this could be figured out as it would make it so much more convenient as we have to use Square when parents want to use thier credit card.

"Procare: Bridging the Gap Between Care Providers and Parents"
Overall it is a helpful resource, I use it every day. I only have a few spreadsheets aside from what procare can provide.
Vorteile
1. Ease of use: pretty intuitive and quick to learn even for my older employees
2. Online payments, can set up recurring plans, one-time invoices, receive payments.
Nachteile
1. Online registration: I love that you can customize but it is limited. Also, the information does not efficiently cross over to their profile, a lot of information needs to be manually typed in regardless of if it was included in the registration.
2. Customer service could be a little quicker. Although, it has gotten better over the last year.
3. Waitlist is a little hard to keep track of.

Great Platform!

I love having an all-in-one solution for our children's center. Customer service is generally very responsive.
Nachteile
There are still some features Procare is lacking, in my experience. I'd like to get notifications (as the administrator) when teachers create incident reports and I'd like a way to confidentially communicate with enrolled families within the platform, for example.

Absolutely love this program and app for our school!
I've always enjoyed showing and sharing this program with families and teachers. It would be great to share more with teachers so they would be inclined to add their work with children to an electronic academic record. Sending pics and anecdotes to parents is just fine for now.

Longest and most consistent
I have been a long time user of Procare. Over 10 years now. I have tried other programs but always come back to Procare due to it's ease of use, affordability and how much my parents like it.
Vorteile
I used Procare Online since before it was Procare ONline. I like the portability and the price. The features were updated regularly and it made enrolling and tracking so easy and precise for my childcare Program.
Nachteile
Some of the features still need to be updated. Integration with our food program and options state learning domains would be nice. We have the domains there but it has to be inputted manually.

Definitely recommend
I have used Procare for about 6 years. I like it better than other platforms I tried. Also, unfortunately, we have purchased several new tablets and the app stopped working on them. We also called the help desk and they were not able to help us.
Vorteile
Once you set it up, it is easy to use. We are able to keep employee classes, timecards, student vaccinations, etc. all in one place! We also use the app so we really like the ability to communicate with our parents.
Nachteile
The credit cards fees and the monthly fee can be high.

Procare needs a Facelift
Procare has been a pretty good resource but as time has gone on there are behind with technology. Their desktop system looks very old compared to other platforms on the market.
Vorteile
I like the all in one aspect where you can run your entire program using this software.
Nachteile
I don’t like that the software is only windows based therefore you cannot use Apple products for the desktop version. They are missing a lot of important report run options as well.

Too many systems that don't sync
They must have acquired several different companies and tried to merge the products. They had limited success. They'd be better off scrapping all of them and starting fresh, rather than try to make things fit together. There are too many things that should sync and don't. There are too many different websites. None of them does all the things you want, even for one specific task. For example, reporting meals for food program. I have to go to the desktop version for the most accurate reports of attendance. I can't see the meals actually consumed there, though-- the meals feature on desktop only auto-marks meals that should have been served based on times kids were there (not okay for food program). The meal report is on the online version. But I have to double-check, because if an infant doesn't eat actual food, it doesn't count them as being there or as eating a meal. And if meals were accidentally entered twice (because the app makes it really hard to tell if the meals were entered yet), it's not easy to correct the totals. Nothing works quite like it should!

I liked the idea that it would do billing, online payments, parent engagement, and attendance tracking all in one. It doesn't. It does it all in three or four, and the parts don't talk to each other.
Nachteile
If the desktop and online versions both have a feature that says "immunizations," they should sync. I should not have to enter things twice! We painstakingly enter the children's schedules in the desktop version for billing, and online it doesn't even tell us what days of the week they're scheduled, let alone what times! Parents can pay through the app, which is great, but if you want it to automatically charge them the 3% fee for credit card use, they can't pay through the app but instead through MyProcare.com. The desktop version has a button for Tuition Express. Is that the same as their website, tuitionexpress.com? Of course not! Can you see the same stuff? Nope. Don't be silly! Is the product support number for all the things the same? Nope, different one for each aspect!

Cost, and all of the features we needed were supposedly combined into one product. It's NOT one product. It's a bunch of different ones that sort of talk to each other, but not quite. Opportunity enhancement

My Observations with Procare
Overall, everything is going well. There are some issues that we are having in which should be rectified immediately.
Vorteile
It's easy to navigate through. I am able to see all of the locations underneath me signing in one time.
Nachteile
Not user friendly in different aspects. Safety concerns when it comes to what the parents can do.

Improvements Needed
I think Procare needs to do some updating.
Vorteile
I think Procare has been helpful, but it needs to improve to meet the demands of the young parents.
Nachteile
Procare does not have the ability to send messages or Newsletters as an email and a text message. Young Parents today read their text message faster than an email.
Also the Procare app is useful but if a teacher or assistant needs to contact a parent quickly, they cannot just touch the phone number and be connected.

Procare Review
Fantastic!! I have used two other similar platforms and Procare has been the most user friendly and the best option for familes.
Vorteile
The customer service is amazing! Any time I need to message or call my issue or question is immediately handled and fixed. They also reach out afterwards to make sure you are all set and see you have any additional questions!

I wish there was an option for automatic payments without additional fees.

Game changer in the office and Classroom
We have used several methods of accounting in communication in our Learning Academy and by far Procare has been the one that stands out for both billing and classroom tools

Overall ProCare has been pretty great!
Overall ProCare has been pretty great. Their customer service is usually pretty helpful as well.
Vorteile
Since we have been using ProCare they have continued to add new features and make upgrades. When they added the name to face feature it has been really helpful for our 15 minute nap checks.
Nachteile
I would like to be able to add photos directly in the messages.

Procare is so helpful!
Procare has great customer service! They have also allowed us to give parents many updates though out the day, they can check in with out having to call the center and parents love getting to look back on there daily activities to see when they need there next meal/ bottle at home.
Vorteile
I love how Procare has allowed out center to switch to one software system instead of using 2-3 like we used to. It has allowed us to grow stronger relationships with parents thought messaging and getting to send them photos though out the day of there child!
Nachteile
When updates are done sometimes it affects the online version and causes it to run slow or be down for a bit. However they are very quick to get it fixed.

Overall my experience has been positive and I think we made a great decision in moving to Procare :)
Vorteile
I appreciate the reports functions and formula billing! Customer support is always helpful, positive, and very informative! We have had a great amount of feedback from our families regarding how much they enjoy the versatility in updates, and the live updates and photos throughout the day
Nachteile
I think there are some opportunities for functionality that are overlooked. For example, we cannot edit the parent phone numbers through the desktop site and then have them synced through the dashboard online. Our teachers have voiced that they would like the ability to edit messages to correct small spelling errors or realign the message for further clarification. We can also not generate a report that reflects scheduled days vs attended days. - which would be helpful for corporate reporting. Also, having parents electronically sign incident/ accident and move up sheets would be great.

Great, user-friendly school management tool
We have been Procare users for years and are very happy with the system's functionality and offerings. We recently had our wall unit replaced and have had many problems with it turning itself off randomly and having fingerprint reader issues. Other than these recent issues, we have been very happy.
Vorteile
Procare is very easy to navigate and offers many customizable features. Customer service is friendly and helpful!
Nachteile
I love everything about Procare except the high transaction fees they collect with each batch payment. For a non-profit, private Christian school, the annual cost exceeded $10,000 and we had to discontinue use and go with another company to solely handle billing and payment processing which is so much more affordable. Unfortunately, it is not as easy to use and we wish we could switch back to Procare.

Great option for childcare facilities
It has gone well. Generally easy to use and figure out. Responsive support team when there are questions.

I like that it can do so many things, billing, attendance, family engagement, messaging, staff timecards etc.
Nachteile
I wish that it was more of an all in one rather than the online vs desktop. A one stop shop is really what centers need.

User friendly program
It's been very easy to learn and teach to others, I do like find it very user friendly.

What I don't is the added fees if you want to use the digital curriculum. I feel if it's part of procare it should be included in with the price.

Procare Ease
While we have experienced some bumps in the road that does not have an immediate fix, their customer service is quick to help you through the problem.
Overall, we are happy with our choice with Procare over the other platforms we considered.
Vorteile
Procare has made out invoicing so easy and efficient. Late and overdue payments have become a thing of the past as our clients are able to see their running balance and pay easily.
The Dashboard and student tracking is a definite plus.
Nachteile
You are not able to message a teacher privately or directly. This becomes an issue if Parents need to speak to one teacher.

We Love ProCare!
As a child care provider, I’m so glad I started using ProCare software! It’s made managing my daycare so much easier. The interface is super user-friendly, and I can easily keep track of attendance, communicate with parents, and organize all my records in one spot.
One of the best features for me is the Parent Communication app. I can send updates, photos, and messages to parents throughout the day, which keeps them in the loop and reassured about their child’s day. The parents love it, and I can tell the kids enjoy seeing their progress reports too!
Another huge time-saver is the billing and payment system. It automatically handles invoices and payments, so I don’t have to spend time on all that paperwork. That’s one less thing to worry about, and I can focus more on the kids.
All in all, ProCare has been a total game-changer for my daycare. It’s reliable, easy to use, and has made my day-to-day tasks a lot simpler. I definitely recommend it to other child care providers!

Works for us!
Except for the fact that I can't intertwine the two versions, I do like Procare. I thought about trying another program but figured we are ok with what we have!

I like being able to message with parents and to see the billing status of each family.
Nachteile
As the director, I can't message privately with parents. I also wish that the desktop version and the online version could work together. I had used the desktop version previously and liked some features very much, they made my job easier.
